Free Committee Meeting Agenda Builder for Victorian Owners Corporations

Committee meetings are how your owners corporation gets things done between AGMs. Whether you’re reviewing maintenance quotes, discussing arrears or confirming the financials, a well-structured agenda keeps the meeting on track and creates a clear record of what was covered.
 
This tool is built specifically for self-managed owners corporations in Victoria. It comes pre-loaded with standard committee meeting items in the correct order, with appropriate item types already set. You can add, remove and reorder items to suit your meeting, then preview and copy the finished agenda to paste into your own document or email.
  1. Set the number of OCs — If your meeting covers more than one owners corporation on the same plan of subdivision, select the number of OCs at the top. Each agenda item can then be assigned to all OCs or specific ones.
  2. Enter meeting details — Fill in the building name, plan of subdivision number, address, meeting reference, date, time, location and chairperson.
  3. Review the agenda items — Standard Victorian committee meeting items are pre-loaded in the correct order. Edit any title or description to suit your meeting.
  4. Add or remove items — Use the + Add item button to include additional items. Remove any that don’t apply using the ✕ button on each item.
  5. Set item types — Each item is pre-set as Standard, Resolution required, or Discussion / Note only. Change these if needed. For resolutions, select whether it is an ordinary, special or unanimous resolution.
  6. Restore missing items — If you’ve removed a standard item and want it back, use the Restore missing items button. It will only add items that are missing — it won’t affect anything you’ve already edited.
  7. Preview your agenda — Click Preview agenda to see the formatted output.
  8. Copy and paste — Click Copy to clipboard and paste into your Word document, email or practice management system. Add your letterhead before sending.
